Paperless Post, Canva, school-bag printouts or the class WhatsApp group? A 2026 reality check on getting RSVPs that actually arrive.
The "how do we send the invites?" question has quietly become one of the most stressful party-planning moments. Here's where Melbourne parents have landed in 2026.
Digital is now the default
Across Melbourne primary schools, roughly 80% of parties now use digital invites. Paperless Post, Canva, Evite and even a well-formatted WhatsApp message all work. The main reasons: instant delivery, easy RSVP tracking, no lost-in-the-school-bag invites, and free or near-free to send.
Free tools that look great
Canva has hundreds of free kids' party templates - design, download, send. Paperless Post offers a free tier with elegant designs. Evite is the workhorse for bigger parties with built-in RSVP and reminder emails. For small parties, a nicely formatted WhatsApp message with one image and clear details is genuinely enough.
When paper still wins
Milestone parties (1st birthday, 5th, 10th), grandparent-heavy guest lists, and any party where the invite itself is part of the gift (a beautiful illustrated card a child keeps). Paper invites also force a more personal handover at school pickup - which some hosts genuinely value.
The class WhatsApp dilemma
Inviting via the class group chat is fast but socially fraught - especially if you're not inviting the whole class. Better to message parents individually (a quick copy-paste) or use a digital invite where you control the guest list. Never post a partial invite to the full class chat.
What to include either way
Birthday child's name and age, start AND finish time, full address, RSVP deadline (5–7 days before), allergy/dietary question, gift preferences if any ("no gifts please" or "book swap"), and a clear yes/no on whether parents stay or drop off.
Make your own themed invitations
