Battle-tested advice from Melbourne's most-booked party entertainers - small tweaks that make the day calmer for parents and more fun for kids.
We've performed at over 25,000 children's parties across Melbourne. These are the small, practical things the calmest hosts always seem to do.
1. Send invites with a clear start AND finish time
"2pm–4pm" gives parents permission to leave on time. Open-ended parties drift into chaos at the 3-hour mark.
2. Cap the guest list at the child's age + 4
A 5 year old does not need 22 friends. Smaller groups mean every kid gets a turn and the entertainer can actually engage with each child.
3. Feed the kids before the entertainer arrives
Hungry children are sad children. A simple platter at the start keeps blood sugar steady so the games and dancing land properly.
4. Set up a dedicated entertainment zone
Clear a 4m x 4m space free of fragile furniture. Indoors, push couches back. Outdoors, mark out the zone with a picnic rug so kids know where to gather.
5. Have a 'quiet corner'
Books, colouring and a quiet rug for any child who needs a break. Two-thirds of parties have at least one child who benefits from this.
6. Brief the entertainer on names
Send the birthday child's name AND nickname, plus the names of 2–3 close friends. A great entertainer will weave them into the show and it lands every time.
7. Cake at the 75% mark, not the end
Cut the cake about three-quarters into the party. Kids are still energetic, photos are better, and parents have time to clean up while the entertainer wraps the games.
8. Pre-pack the lolly bags
Have them in a basket near the door. Hand them out as kids leave - this signals "party over" gently and avoids the dreaded forgotten-bag chase the next day.
9. Have one designated photographer
Either you or a friend - not both parents. The other parent runs the household and looks after guests. You'll thank yourselves later.
10. Tip and review your entertainer
If they were great, a small tip and a Google review costs you nothing and means the world. Melbourne's children's entertainment scene runs on word of mouth.
