How to Plan the Perfect Kids' Party in Melbourne

A step-by-step guide for Melbourne parents: from picking the date and venue to booking the right entertainer for your child's big day.

Planning a children's birthday party in Melbourne can feel like organising a small wedding - except your guests of honour are under 10 and powered entirely by fairy bread. After 25+ years of running parties across the city, we've boiled the process down to a handful of decisions that make everything else easier.

1. Lock in the date 6–8 weeks out

Melbourne weekends, especially Saturdays between 10am and 2pm, book out fast - particularly in spring and the lead-up to Christmas. As soon as you have a date in mind, secure your entertainer and venue. Most professional party entertainers in Melbourne take bookings up to 6 months in advance, and the popular characters (princesses, superheroes, fairies) often sell out 4-6 weeks ahead.

2. Pick the right venue for the season

Melbourne weather has opinions. For winter parties (June–August), an indoor venue or a covered deck is a must. In summer, a shaded backyard, a local hall, or one of Melbourne's many community centres works beautifully. If you're using a park, always book a backup indoor option and check whether amplified music is allowed.

3. Match the entertainer to your child's age

Under-4s respond best to gentle, sensory shows with bubbles, singing and short games. 4–6 year olds love character-driven parties - princesses, superheroes, fairies and the like. 7+ year olds enjoy more interactive challenges, magic shows and dance-offs. Tell your entertainer the age range when booking so they tailor the program.

4. Keep the run-sheet simple

A two-hour party is plenty. We recommend: 30 minutes for arrivals and free play, 45–60 minutes of entertainment, 20 minutes for cake and food, then 10–15 minutes of farewell. Anything more and you risk overtired kids and exhausted parents.

5. Confirm the small details a week before

Confirm address, parking, indoor/outdoor space, power access, the guest of honour's name and age, and any allergies or sensitivities. A great entertainer will reach out to you the week before - if they don't, that's a yellow flag.
